Provides event planning and communications support to R&D.  The primary accountability is to ensure the needs of the function are prioritized, organized and executed to maximize internal and external communication.  This is accomplished by coordinating the input from various leaders, broader R&D and corporate support as required to ensure events are consistent with R&D communication plans.
  • Daily activities include but are not limited to R&D external event planning with a focus on congresses and the R&D internal communication forums such as the R&D All Hands, the R&D Investor Day.  In addition, this position will support the R&D Operations Lead in other related activities such as the maintenance of the R&D portion of the intranet as needed and as time permits relative to the core role responsibilities in support of external events.
  • External event planning for congresses will including coordination of hotel room blocks, reserving meeting rooms, audio/visual equipment, catering and other resources for events planned at such congresses.  This will include investigator meetings, and advisory boards (as applicable). 
  • Internal event planning for associated communication forums such as the R&D All Hands, the R&D Investor Day and other communication meetings will include coordination of meeting materials, management of the venue including the audio/visual equipment and catering for internal events.
  • For both internal and external events responsibilities will include financial management of these activities; specifically tracking/processing of purchasing requests (proposals, POs) to ensure consistency with the approved budget.  
The incumbent must be flexible, a team player, who is able to multi-task and has the judgment necessary to prioritize conflicting goals, keeping everyone aware of the conflicts and communicating effectively.  

RESPONSIBILITIES:
75%

QUALIFICATIONS:
  • Ability to coordinate projects from initiation through design and delivery with minimal oversight
  • Self-starter – identifies areas for process improvement and implements 
  • Ability to operate a personal computer and related software
  • Ability to perform multiple tasks in a fast paced, team environment

REQUIREMENTS:
  • Bachelor’s Degree required
  • 4-5 years project coordinator/event planning experience with 1-3 years in biopharma industry preferred
  • Experience in a gene therapy environment desired
  • Experience in supporting medical congresses a plus
  • Experience in meeting / event planning or other related activities required
  • Experience in coordination of advisory boards, corporate / functional meetings required
  • Experience with support / interactions with C level pharmaceutical executives required
